The June 2025 Microsoft Work Trend Index report found that Microsoft 365 users were interrupted every 2 minutes on average by a meeting, email or notification. With Gemini drafting the notes, you can stay focused on the conversation and review the summary afterward.

This guide covers which plans qualify, how to turn notes on and what Gemini captures. You’ll also learn how to review and share the doc, then turn next steps into follow-ups you control.

What Gemini in Google Meet does for your meetings

Gemini is Google’s artificial intelligence (AI) assistant, built into Google Meet on eligible Google Workspace plans. In a meeting, it can take notes for you, help late joiners catch up and answer private questions about the discussion.

Think of the Gemini note taker as an assistant that drafts while you talk. You decide when it runs, who receives the notes and what goes into your follow-up.

Also read: If you’re still choosing a meeting platform, see our Google Meet vs Zoom comparison.

How Gemini turns your conversation into notes

Gemini turns the spoken conversation into a written summary in a Google Doc. In Google’s announcement, Google describes Gemini transcribing the conversation and creating a meeting summary with key action items.

The finished notes arrive in one doc with two tabs. Each tab serves a different reader need.

Quick notes: A short summary of the most important takeaways, including action items.

Full notes: A longer version with a summary, decisions, action items and details.

Gemini covers only the part of the meeting after notes start. Notes aren’t retroactive, so a late start leaves the opening minutes out of the summary.

AI summaries can still get things wrong. A peer-reviewed meeting summarization study from University of Göttingen researchers found that large language model (LLM) meeting summaries remain error-prone. The 2025 paper points to hallucinations (invented details) and omissions of things people said.

Google’s help guidance for Ask Gemini in Meet also warns that Gemini can make mistakes, including about people. Treat your Gemini meeting notes as a strong first draft and check them before you share or act on them.

Also read: Learn how Gemini compares to ChatGPT if you’re weighing AI assistants for your team.

Notes, transcripts, recordings and Ask Gemini compared

Google Meet offers four tools that capture or explain a meeting, and they’re easy to mix up. Ask Gemini in Meet is private to you and doesn’t create a recording. Transcripts and recordings are available on Business Standard and Business Plus.

Which Google Workspace plans include Gemini in Google Meet?

Google’s Gemini features by plan table lists “Take notes for me” and Ask Gemini in Meet for Business Standard and Business Plus. Business Starter isn’t listed for these Meet features.

Bluehost’s plan cards follow the same split. Business Starter includes the Gemini assistant in Gmail only. Business Standard and Business Plus include it in Gmail, Docs, Sheets, Slides, Drive, Meet and Chat.

Two rules decide whether Google Meet Gemini notes appear in a meeting. Both catch small teams by surprise, so check them before your next client call.

The organizer’s plan counts: If the person who scheduled the meeting isn’t on an eligible plan, Gemini notes won’t run for that meeting.

Your admin must turn it on: An admin enables Gemini note-taking in the Admin console, as Google’s admin setup for Meet notes explains.

A few other conditions apply. Gemini features require users who are 18 or older. Notes work in English, French, German, Italian, Japanese, Korean, Portuguese and Spanish, with one language per meeting.

Personal Google AI Pro and Ultra subscribers can also use the feature, but this guide focuses on business plans.

Business Standard vs Business Plus for meeting-heavy teams

Gemini in Meet works the same way on both plans, so your choice comes down to meeting size, records and storage. Google’s Meet features by edition page lists up to 150 participants on Business Standard and 500 on Business Plus. If your calls stay small, Business Standard covers Gemini notes, while Business Plus makes sense for larger calls or archiving needs.

Choose Business Standard if:

You usually host calls with fewer than 150 participants.

You want Gemini notes, Ask Gemini, recording and transcripts in Meet.

You don’t have legal archiving or retention requirements for email and files.

You can work within 2TB of storage per user.

You’re moving up from Business Starter mainly for Gemini meeting notes.

Choose Business Plus if:

You host all-hands meetings, trainings or webinars with more than 150 participants.

You need attendance reports for client sessions or required trainings.

You want retention and archiving tools, which Google covers in its Vault in Business Plus guide.

You record often and want 5TB of storage per user.

Both plans include the same Gemini notes feature. If note-taking is your main reason to upgrade, Business Standard covers the steps in this guide.

Also read: For storage, Vault and meeting size in more depth, compare Business Standard and Plus.

Why Business Starter doesn’t include Gemini meeting notes

Business Starter gives you the Gemini assistant in Gmail, and Gemini in Meet sits on the higher plans. Starter also leaves out Meet recording and transcripts.

If you host client calls and want notes, Business Standard is the lowest-priced Bluehost plan in this comparison that includes Gemini in Meet.

The organizer rule creates one exception. If a colleague or client on Business Standard or Plus organizes the meeting, Gemini notes can still run for that meeting. Our Business Starter vs Standard guide explains what else changes when you upgrade.

How to turn on Gemini note-taking in Google Meet

You can take notes with Gemini before the call, during it, from your phone or automatically for meetings you host. Pick the method that fits how you schedule, then follow the steps below.

1. Confirm your plan and admin settings

Start by checking that the meeting organizer is on Business Standard or Business Plus. Then confirm Gemini note-taking is turned on for your organization.

If you’re the admin, open the Google Admin console and go to Apps > Google Workspace > Google Meet > Gemini settings > Gemini note-taking. Check “Let people use Gemini note-taking in meetings” and save, as listed on Google’s admin setup page in the plans section above. On a small team, the admin is often you.

2. Turn on notes before the meeting in Google Calendar

Turning on notes in Calendar saves you a step during the call. Google’s Calendar and Meet settings page lists this path for meetings you host. Follow these steps:

Open the event in Google Calendar or create a new one.

Add Google Meet video conferencing.

Select Video call options.

Click Meeting records in the left column.

Check Take notes with Gemini.

Save the event.

3. Start taking notes during a call on your computer

This is the quickest way to use Google Meet’s “Take notes for me” once a call has started. Google’s Take notes for me help lays out the steps:

Join the meeting from your computer.

Click “Take notes for me” (the pencil icon) at the top right of your screen.

Optionally, adjust who gets the notes and the meeting language.

Click Start taking notes.

Google Meet tells all participants that notes are being taken, and the pencil icon appears on their screens. Start at the top of the call, since notes don’t capture anything said before you click.

4. Start notes from the Google Meet mobile app

You can also start notes from the Meet app on Android or iPhone. Google’s steps to take notes on mobile are short: tap the screen, then Menu > Take notes with Gemini > Start.

Keep the app updated so the option appears. The live “Summary so far” view isn’t supported on Android or iOS, so late joiners catch up best from a computer.

5. Set automatic notes for meetings you host

Automatic notes save you from starting Gemini by hand on each call. On meet.google.com, open Settings > Meeting records and find “Automatic note taking for all future meetings.” You’ll see three options:

Off: You start notes yourself in each meeting.

For all scheduled meetings I host: Notes start on scheduled meetings you organize.

For all scheduled meetings I host with 3+ guests: Notes start only on larger scheduled meetings.

Per Google’s automatic note-taking admin guide, automatic notes switch on by default for Business Standard and Business Plus on or after September 21, 2026. The default covers meetings with 3 or more guests, including the host. Admins and users can change it.

What Gemini captures while you talk

Gemini organizes your notes into a summary, decisions, next steps and details, with a Quick notes tab for the short version. That structure gives you a ready-made list of action items to check after the call.

The Decisions section is available in English and to Beta users in other languages. Google recommends notes for meetings of 15 minutes to 8 hours, and meetings with fewer than 50 spoken words may produce no notes.

Catch up with “Summary so far” and Ask Gemini

If you join late on a computer, open “Summary so far” to see what you missed while notes are running. This view is available on desktop only.

Ask Gemini answers your private questions about the discussion, such as “What did [client name] say about the timeline?” It starts after two participants join or when the host turns it on. It can’t answer questions about discussion before you joined unless notes were already running.

Stop and restart notes for sensitive topics

You can stop notes before a confidential topic and restart them afterward. That part of the conversation then stays out of the summary.

If Host Management is on, only hosts can turn notes on or off. Otherwise, participants inside the host’s organization can stop them, while external guests can’t start or stop notes.

How to find, review and share your Gemini meeting notes

Your Gemini meeting notes live in the organizer’s Google Drive and on the Calendar event. Before you send them anywhere, review the summary and confirm who can open it.

Where Gemini saves your meeting notes

Many people check their own Drive first and assume the notes are missing. The doc belongs to the organizer, and others get access through sharing. Google’s “Take notes for me” help lists these places to check:

Organizer’s Google Drive: Newer notes save in the “Google Meet” folder, with a sub-folder for each meeting.

Google Calendar event: The notes doc is attached to the event for invitees, based on sharing settings.

Email recap: The organizer and the person who started notes get an email with a link.

Older folders: Earlier notes may sit in a “Meet Recordings” or “Legacy Meet Recordings” folder.

Instant meetings: Without a Calendar event, notes go to hosts and whoever started them.

Review the summary before you share it

A quick review catches the errors AI summaries can introduce. Check these details while the call is fresh.

Names and owners: Confirm who owns each next step.

Numbers and dates: Check prices, deadlines and quantities against what was said.

Decisions: Make sure “decided” items weren’t just discussed.

Sensitive details: Remove anything that shouldn’t go to all invitees.

Language: Expect gaps if the meeting switched languages, since Gemini supports one language per meeting.

Choose who can open the notes

Hosts and co-hosts choose who receives the notes from the “Send notes to” menu. Admins set the default, and you can pick from three options:

All invited guests: Includes people outside your organization.

Invited guests in your organization: The default setting.

Hosts and co-hosts only: The most limited option.

“Invited” means all guests on the Calendar invite, including people who didn’t attend. Guests added through a group email need to request access to the doc.

Pro tip: For client calls, decide before the meeting whether clients should receive the notes. Set that option before you click Start taking notes.

How to turn Gemini summaries into follow-ups

To turn Gemini summaries into follow-ups, open the notes and confirm owners and dates. Then draft your email with Gemini in Gmail, using the notes doc as a source. This is a manual flow, so you edit the draft and choose when it goes out.

Draft a follow-up email with Gemini in Gmail

Gemini in Gmail can use a Drive file, such as your meeting notes doc, as a source for a draft. Google’s Gemini in Gmail help describes adding Drive files as sources. Participants see a notice when notes start. Planning around them helps you avoid ending a call with no summary. Keep these in mind:

Organizer’s plan decides: If a client hosts on an ineligible plan, that meeting gets no Gemini notes.

One language per meeting: Gemini supports eight languages, but only one at a time.

Not retroactive: Notes begin when someone starts them, so start early.

Short meetings: Fewer than 50 spoken words may produce no notes, and Google recommends 15 minutes to 8 hours.

Mobile view: Live “Summary so far” isn’t available on Android or iOS.

Guest controls: External guests can’t start or stop notes.

Google Meet only: Calls on other platforms need a different note-taking approach.

Get Gemini in Google Meet with Bluehost Google Workspace

Bluehost offers Google Workspace Business Standard and Business Plus, and both plans include Gemini in Meet. Our Gemini AI for business page shows how Gemini in Meet turns conversations into summaries, notes and action items on eligible plans. Buying through us also keeps setup simple:

Domain-matching email: Your team gets addresses like you@[yourbusiness].com, and a Bluehost hosting plan isn’t required.

Automatic DNS setup: If your domain is with Bluehost, Domain Name System (DNS) records are set up for you.

One account: You manage Google Workspace alongside your domain and hosting from one Bluehost dashboard.

Real human support: Our trained experts are available 24/7 by chat or phone.

Habits that get you better Gemini meeting notes

Small meeting habits can make Gemini’s summary clearer and easier to act on. Try these on your next few calls:

Share an agenda: Named topics can give the summary clearer sections.

Say decisions and owners out loud: Gemini can only capture what’s spoken.

Stick to one language: Switching languages mid-call can leave gaps in the notes.

Start notes at the top of the call: Early setup means the opening context gets captured.

Review the same day: Check the doc, then send your follow-up while details are fresh.

Final thoughts

Gemini in Google Meet is most useful when you pair the right plan with an early start and a careful review. Before your next scheduled call, check the organizer’s plan and turn on notes in Google Calendar.

If your team uses Business Starter or is new to Google Workspace, Business Standard is your starting point for Gemini meeting notes. Business Plus fits larger meetings and stricter records needs. Get Google Workspace with Bluehost to start taking notes with Gemini in your next Google Meet call.

FAQs

Is the Gemini note taker in Google Meet free?
No. The Gemini note taker needs an eligible paid plan for the meeting organizer, such as Google Workspace Business Standard or Business Plus. Business Starter isn’t listed in Google’s plan table for Meet notes, so Starter teams need to upgrade or join meetings hosted on an eligible plan.

Do I need a separate Gemini add-on to use “Take notes for me”?
No. Gemini in Meet is included with Business Standard and Business Plus, so you don’t buy a separate add-on for note-taking. Your admin still needs to allow Gemini note-taking in the Admin console. If the pencil icon doesn’t appear, check that setting and confirm the organizer’s plan before you contact support.

Can Gemini take notes when someone outside my company hosts the meeting?
Yes, if the organizer’s plan includes it. Notes depend on the host’s edition and their admin’s settings, so your own plan doesn’t decide it for that meeting. As an external guest, you can’t start or stop notes. Whether you receive the doc depends on the sharing option the host chooses.

How long are Gemini meeting notes kept?
Gemini meeting notes stay in the organizer’s Google Drive as a Google Doc until someone deletes them or a retention policy removes them. The doc follows the Meet retention policy your organization has configured. Business Plus includes Google Vault, which gives admins more control over retention rules for business records.

Can I upgrade from Business Starter to get Gemini notes?
Yes. You can move from Business Starter to Business Standard or Business Plus during your billing period, and charges are prorated. If you bought Google Workspace through Bluehost, you can manage the change from your account dashboard. Once the new plan is active, confirm your admin has Gemini note-taking turned on.

Learn how to use Gemini in Google Meet to take notes, summarize meetings and draft follow-ups.
